The upgrade plan and why it made sense

The agreed approach was straightforward. The front and rear external doors were upgraded to anti-snap, anti-pick British Standard cylinders suited to the door type and insurance expectations. The rear UPVC door also had its alignment corrected and the worn internal mechanism replaced. That removed the daily strain from locking and reduced the chance of another urgent failure.

For key control, the office moved onto a restricted key system for the external doors and selected internal rooms. That does not mean every door had to share one key with no limits. Instead, the setup was organised so management could carry one key for all required access, while general staff only had access to the doors relevant to their role. Cleaners had controlled access to agreed areas during scheduled hours.

This is where master key systems can be very useful, but only when planned properly. In a small office, a simple hierarchy often works better than a complicated one. Too many access levels can create confusion, especially if the office manager is the person updating permissions rather than a facilities team.

The records room was treated differently. Because it contained sensitive paperwork, the client chose a separate cylinder on the restricted system rather than adding a keypad. That kept the door simple, reliable and easy to use, while still tightening control over duplication of keys.

What changed after the work was done

The biggest improvement was not dramatic. It was that the office could lock up properly every day without forcing doors, second-guessing keys, or wondering who still had access. Good security work often looks like that. Fewer problems. Less friction. More certainty.

The front entrance felt more secure immediately because the cylinder standard was visibly higher and the locking action was smooth. On the rear UPVC door, the difference was even more noticeable. Instead of needing a hard lift on the handle and a firm twist of the key, staff could secure the door consistently. That matters because a door that is awkward to lock often ends up not being locked correctly.

Key management improved as well. The office manager had a recorded issue list for current holders, a clear hierarchy of access, and the reassurance that duplicate keys could not simply be obtained without authorisation. That does not remove every risk, but it closes off one of the most common weak points in smaller offices.

There was also a maintenance benefit. Once the rear mechanism and alignment were corrected, strain on the new cylinder was reduced. For this team, a well-planned restricted mechanical system offered good control without software, power supply work or user training. Mechanical systems are often the better fit when reliability, lower upfront cost and straightforward day-to-day use matter more than audit trails.

That said, there are cases where electronics win. If a building has frequent staff changes, multiple shifts, temporary users or regular access changes, electronic control can reduce the cost and disruption of reissuing keys. It depends on how the office actually runs, not what sounds most advanced.

Lessons other office managers can take from it

The first lesson is simple. If a door is stiff, misaligned or difficult to lock, treat it as a security issue now, not a convenience issue for later. Doors fail gradually until they fail all at once.

The second is that key uncertainty is a problem even when nothing has gone wrong yet. If you do not know who still holds access to your premises, your security is weaker than it looks on paper.

The third is to match the upgrade to the building. Offices with one main entrance and a stable team often benefit most from better cylinders, restricted keys and proper door repairs. Sites with heavy traffic or constant personnel changes may need access control as part of the discussion. Neither option is automatically right.

The fourth is that compliance should not be left to guesswork. Using British Standard and anti-snap approved parts where appropriate gives a clearer route towards meeting insurer expectations and improving resistance at the points most likely to be targeted.
